We are launch-ready, backed by strong industry expertise, and about to scale operations with new investment. To move fast and stay disciplined, we are looking for a Program Manager (Head of Ops for Startup) to become the execution backbone of our company.
This is not a “corporate project manager” job. This role ensures Hundredjack executes with speed and discipline. You will coordinate across tech, marketing, legal, and labs, while also working closely with the founders — keeping schedules, managing travel, and sometimes joining in person at client meetings, clinics, investor sessions, and industry events/fairs.
You will work directly with the founders and act as the engine of execution:
Turn our roadmap into a live execution system.
Keep documentation aligned with reality.
Run onboarding for new hires.
Track deliverables across functions and ensure deadlines are met.
Learn the company inside-out and actively contribute ideas and suggestions.
Keep founders on track, including managing schedules, meetings, and travel logistics.
Accompany founders to key client visits, investor meetings, clinic partnerships, and industry fairs when required.
Translate the Execution Roadmap into a living task board (Linear/Asana/Notion).
Break milestones into deliverables and track ownership.
Own company documentation (GitBook): keep processes, roles, and milestones updated.
Standardize onboarding for all hires.
Run weekly founder sync + team check-in.
Collect async updates and prepare concise progress reports.
Ensure cross-functional alignment (tech ↔ legal ↔ marketing ↔ labs).
Actively learn about all aspects of the company and propose improvements.
Challenge and involve founders to keep execution sharp.
Manage founders’ schedules, meetings, and appointments.
Organize travel (flights, hotels, tickets) and logistics for events.
Join founders for key meetings with clients, clinics, investors, and at industry events/fairs.
Proven experience as Program Manager, Operations Manager, Head of Ops, or Chief of Staff in a startup or scaleup.
Track record managing multi-disciplinary teams (at least 2–3 functions at once).
Strong knowledge of project management tools (Asana, Linear, Notion, Jira, etc.).
Process-oriented but able to thrive in startup chaos.
Hands-on: comfortable setting up systems, not just advising.
Excellent communication skills in English (mandatory) and Italian (highly preferred).
Knowledge of Estonian/German is a plus.
Curious and engaged: willing to learn everything about Hundredjack, contribute ideas, and take ownership.
Proactive driver: pushes execution forward, including keeping founders accountable.
Operationally flexible: capable of managing schedules, logistics, and occasional travel.
Based in EU, with ability to work remote and join in-person when required (hybrid setup preferred).
Execution Roadmap live and tracked in task board.
Weekly reporting cadence running.
Documentation maintained and accurate.
First hires onboarded with clear deliverables.
Founders’ schedules organized and running without conflicts.
Travel and event logistics managed smoothly.
At least one client or investor meeting supported in person.
Early-stage impact: shape the way a startup executes from the ground up.
